Overview
Official Vital Records and Certificates
The Vital Records division, housed within the City Clerk’s Office at Portland City Hall (Room 203), is the official custodian of birth, death, and marriage records for events that occurred within the city of Portland. This office plays a crucial role in maintaining the legal history of the community’s residents. It is the primary destination for individuals needing certified copies of these documents for legal identification, passport applications, social security registration, or genealogical research. The office operates in strict compliance with Maine state law, which dictates who may access these sensitive records and the fees associated with them.
Obtaining Certified Copies
Access to vital records in Maine is restricted to those with a ”direct and legitimate interest.” This typically includes the person named on the record, their spouse, parents, or descendants. Applicants must provide: Proof of Identity: A valid government-issued photo ID is required for all requests. If the applicant’s name does not appear on the record, they must provide documentation proving their lineage or legal relationship.
- Birth Certificates: Essential for travel and identification; available for anyone born in Portland or whose parents resided there at the time of birth.
- Marriage Certificates: Available for couples who filed their marriage license intentions in Portland.
- Death Certificates: Issued for individuals who passed away within the city limits.
Fees and Payment Information
The standard fee for a certified copy is $15.00 for the first copy and $6.00 for each additional copy of the same record ordered at the same time. The office accepts cash (in-person only), checks made payable to ”City of Portland,” and credit/debit cards (subject to a processing fee). Requests can be made in person at the counter during business hours, by mail with a self-addressed stamped envelope, or via the city’s approved online service.
